The Admissions Coordinator is the first human voice in someone’s recovery. You take the inquiry, ask the questions that decide whether we can help, and either start the admission or find the person somewhere that can — all from home.
The schedule
- Wednesday to Sunday, 11am to 8pm, with an hour for lunch.
- Fully remote. You need reliable high-speed internet and a backup, such as a hotspot.
- Consistent hours — the schedule is the schedule, not a rota that moves.
What you will do
- Respond to phone and email inquiries promptly and professionally.
- Ask the screening questions that gather complete clinical, medical and insurance information.
- Read a benefit verification and generate an accurate client quote.
- Coordinate with clinical and operational teams so admission decisions are made on full information.
- Follow up with prospective clients by phone, email and post, logging every touch in BestNotes, Lightning Step and Pipedrive so no lead is lost.
- Help people we cannot admit find somewhere that can take them, and follow up on that too.
- Educate clients and families on the programs, and give virtual tours when asked.
- Coordinate transportation logistics when they are needed.
What you need
Required
- Strong communication and customer service — this is the job, not a soft skill beside it.
- Proficiency with Pipedrive and Lightning Step.
- The ability to read a benefit verification and quote from it accurately.
- Enough technical confidence to troubleshoot your own internet and computer problems.
- Reliable high-speed internet with a backup connection.
Preferred, not required
- Prior experience in healthcare admissions, behavioral health or a related field.
- Comfort multitasking in a fast-paced remote environment without losing the detail.
If you hold the credential and the rest is thin, apply anyway. The preferred list is what we would like, not a filter we run.
Where you would work
From home, anywhere in the United States. The role runs entirely on the phone and on web platforms, so what it needs from your setup is reliable high-speed internet and a backup connection — a hotspot is fine. There is no office to commute to and no hybrid week.
Before you click apply
The application runs in Proliant and asks for everything in one sitting: resume first, then your details, then two previous employers with dates, supervisor names and supervisor phone numbers, then two references with contact details, then a background-check consent. It does not save partway through.
Twenty minutes at a desk with those to hand. If it defeats you, call (512) 213-4304 and ask for HR rather than giving up.
Questions about this role
What does the remote Admissions Coordinator role pay?
$16.00 to $26.00 an hour depending on experience, plus a full benefits package — medical insurance, with dental, vision and life available, and PTO accruing at 5.85 hours per pay period after probation.
Is this job fully remote, and where can I live?
Fully remote, and you can work from anywhere in the United States. You need reliable high-speed internet and a backup connection such as a hotspot, because the whole role runs on phone and web platforms.
What are the hours?
Wednesday to Sunday, 11am to 8pm, with a one-hour lunch. It is a fixed schedule rather than a rotating one, and it includes both weekend days.
What software do I need to know?
Pipedrive and Lightning Step are named as requirements, and you will also work in BestNotes. You need to be able to read a benefit verification and generate an accurate quote from it.
Do I need behavioral health experience?
It is preferred, not required. Prior experience in healthcare admissions or behavioral health helps, but the posting names no degree and no license — the requirements are the communication skills, the software, and being able to quote from a benefit check.
Who would I be working for — Briarwood, Nova or Eudaimonia?
The role is with Briarwood Detox. What is unusual about it is the reach: you would take admissions for Briarwood, Nova Recovery Center and Eudaimonia Recovery Homes, so the screening questions decide which of three levels of care someone is routed to rather than just whether we can help.
What happens when someone is not a fit for your programs?
You help them find somewhere that is. Locating alternative treatment options and following up properly is written into the role rather than left to goodwill.
Equal opportunity
We welcome applicants from every background, including people with lived experience of recovery. Hiring decisions are made on credential, experience and fit for the role. Briarwood Detox Center is operated by Nova Recovery LLC, which is the employer named on the application.
Rather just send us your details?
The full application above is the one that gets you into the hiring process, and it is worth the twenty minutes. But if you are reading this between clients and do not have two references to hand, leave your details and a person from HR will come back to you.
